Position Title: Special Events Manager

Reports To: Director of Special Events

Classification: Full-time | Exempt

Salary & Benefits: $65,000 - $75,000. Schedule: Generally Monday through Friday. Work week and hours fluctuate based on events schedule and will include evenings and weekends on a regular basis. The typical schedule will be 10:00 a.m. to 6:00 p.m.; flexibility required. This position is classified as a hybrid role with a minimum of 3 days onsite per week, with Thursdays as a staff-wide in-office day.

Summary: The Special Events Manager is responsible for the production, management, and execution of a portfolio of select special events that comprise The Center’s overall fundraising program. The Special Events Manager will serve as the supportive liaison for co-chairs, host committee, and event program speakers. They will also serve as the link between The Center and any outside contracted producer(s) and vendors, as well as assist with recruitment, training and managing individual volunteers and staff for event roles, and chair related volunteer committees.

Essential Duties and Responsibilities:

  • Provide project management for all special fundraising and cultivation events for The Center in tandem with the Director of Special Events (including all in-house managed and outsourced events).
  • Lead the execution of several events that take place over the course of the year, including but not limited to Holiday Party for Major Donors, Annual Donor Briefing & Toast, Center Dinner, Women’s Event, Fashion Centered, Garden Party, Cycle for the Cause, The Center’s 3-day bike peer-to-peer fundraising ride from Boston to New York, and others, in collaboration with the Director of Special Events and an additional Special Events Manager.
  • Support occasional events and programs for the Young Leaders program with a focus on inclusivity and engagement with The Center’s work.
  • Manage all event-related budgets, expense and revenue reporting and tracking, vendor contracts, and digital organization of all event materials. Provide regular revenue and expense reports to key staff and leadership.
  • Integrate Center values in all events and ensure that Center events are a part of the overall donor cultivation and stewardship strategy.
  • Increase fundraising via revenue-generating aspects of event production, including marketing strategies and email campaigns, ticket sales, auctions, raffles, etc.
  • Supervise outside event producers (when utilized) and ensure their work meets the needs and standards of The Center’s fundraising plans within budget and in accordance with the Center’s values.
  • Create and monitor all event-related timelines and deliverables cross-departmentally so that all deadlines are met.
  • Manage and mentor event committees, volunteer leaders, and individual event volunteers. Provide timely updates and information to support their efforts on behalf of The Center.
  • Ensure, in collaboration with the Communications and Marketing department, the production of all written and printed event-related collateral materials, including invitations, advertisements, web-based media, and all other internal and external materials related to Special Events.
  • Develop and present all event-related budgets (in collaboration with outside producers, if applicable) to the Director of Special Events and Chief Development Officer.
  • Organize, inventory and maintain all events-related supplies and materials.
  • Perform other duties as assigned.

Position Requirements:

  • Bachelor’s degree preferred or equivalent professional and educational experience.
  • Possess a minimum of three (3) to five (5) years of experience working in a fast-paced fundraising, development, and/or special events environment.
  • Adept at balancing creativity with fundraising goals and fiscal demands.
  • Ability to create, manage and execute innovative fundraising strategies, especially those that involve peer-to-peer events and corporate activations.
  • Demonstrated experience in vendor and budget management.
  • Strong computer proficiency with Google Docs and Google Sheets, including merges and formulas.
  • Familiarity with fundraising database management; experience with Salesforce a plus.
  • Strong ability to lead complex processes and work on multiple projects at one time and to set and stick to priorities.
  • Strong ability to work independently and as part of a team.
  • Exceptional organizational skills and attention to details.
  • Excellent interpersonal skills; ability to interact with a wide range of stakeholders, including staff, board, and volunteers.
  • High level of initiative, dependability, flexibility and a sense of humor.
  • Ability to self-reflect, take in feedback, and see oneself in systems, identities, and relationships.
  • Excellent written and oral communication skills; comfort with public speaking.
  • Knowledge, understanding and experience working with LGBTQ+, TGNC, POC, and Immigrant populations, including knowledge of the spectrum of gender identity, transgender issues, immigration, and POC issues.
  • Understanding of, and commitment to, undoing structural and institutional racism and bias and the spectrum of gender identity and bias. Thoughtful and articulate analysis of the above, and consideration of the impacts and outcomes in decision-making processes and on underserved and historically oppressed communities as it relates to The Center’s work.
